Event details

UPON ARRIVAL:

Pull into the circle drive for valet parking, unload your luggage and take it with you to check-in. Go inside to check-in to your hotel room, and then return to the valet to let them know your room number for your vehicle. There is unlimited in-and-out service for valet parking for hotel guests. Tipping is encouraged.

EVENT CHECK-IN:

Event check-in is from 3:00-5:30 pm Feb. 5, 2025 outside the Red River Room west of the dining area in the hotel. 

EVENT INSTRUCTIONS:

Please leave your iPads and/or laptops in your room. However, you will need your phones! We are asking for you to be fully present during the event to eliminate as many distractions as possible. We do understand there will be communication to you throughout the event but ask that you respond during the breaks.

Please wear your name tags throughout the event at all times. This will allow you to participate in meals at the hotel. 

FRIDAY DEPARTURE:

Pack and take your luggage with you to check-out before the morning session. The hotel will store it for you, or you can bring it into our meeting space and store it at the far side or back of the room. If you leave it with the hotel, pick up your luggage from the front desk BEFORE requesting your vehicle from the valet.

Cancellations

Cancellations after January 8th, 2025: Due to hotel and meal expenses incurred by the Foundation in advance of the event, there will be a $50 cancellation fee after January 8th. Exceptions will be made for extreme circumstances and will be reviewed by staff.

Meals

Meals provided will be Wednesday evening, all meals and snacks on Thursday, and breakfast on Friday. Due to hotel policy, no outside food or drinks can be brought into the meeting space or you will be fined $250 by the hotel.  If your dietary restrictions and allergies (food or medical) were listed in your registration, the hotel will do their best to accommodate those restrictions.

Additional Expenses

Expenses not covered by the Foundation include: any amenities purchased while at the event such as movies, room service, bar or snacks from the Hotel Pantry near the Registration Desk. Therefore, upon check in on Wednesday your credit card will be required to be on record for any expenses incurred by you. Be assured that OUR credit card will be on record to pay for your hotel room, meals included with the event, and parking. If there is any discrepancy, please contact us at scholars@lastinggood.org.
